The Human Resources Coordinator provides administrative and operational support across a wide range of HR functions. This role plays a key part in the union onboarding process, including pre-employment compliance, new hire orientation, and follow-up. It is also responsible for assisting in maintaining accurate and confidential employee records in both physical files and the HRIS system.

How You Can Make an Impact
The Human Resources Coordinator provides administrative and operational support across a wide range of HR functions. This role plays a key part in the union onboarding process, including pre-employment compliance, new hire orientation, and follow-up. It is also responsible for assisting in maintaining accurate and confidential employee records in both physical files and the HRIS system.
How You Will Contribute
- Process union new hire onboarding, including document collection, file management, and data entry into relevant systems.
- Initiate and review pre-employment requirements (e.g., background checks, motor vehicle records, and employment verifications).
- Complete and verify I-9 forms; maintain I-9 records, including conducting monthly and annual audits.
- File Chain of Custody forms and drug test results for union pre-employment and random drug tests; notify HR Director and Advisor of any positive results.
- Support manpower request tracking by monitoring open and filled requests.
- File employee documents received from various departments.
- Conduct follow-up calls with union new hires after successful onboarding completion.
- Communicate Joint Apprenticeship Training Committee (JATC) correspondence to the appropriate employees and supervisors.
- Complete Department of Transportation (DOT) employment verifications for DOT-regulated employees.
- Ensure confidential and accurate recordkeeping of employment files.
- Ensure compliance with federal, state, and local employment laws and regulations.
- Provide general support across HR functions and processes.
What You Bring to the Table
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint).
- Basic understanding of federal, state, and local employment laws and HR compliance standards.
- Excellent verbal and written communication skills, with the ability to convey information clearly and professionally.
- Strong organizational and time management skills, with the ability to manage multiple tasks and meet deadlines.
- High attention to detail and accuracy in data entry, recordkeeping, and document management.
- Ability to maintain a high degree of discretion and confidentiality when handling sensitive information.
- Proficiency with or the ability to quickly learn HRIS systems and other Human Resources platforms.
- Strong interpersonal skills and the ability to build and maintain positive working relationships.
- Adaptable and flexible in a fast-paced, team-oriented work environment.
- Ability to follow established procedures while also identifying opportunities for process improvement.
- Minimum 2 years of related professional experience, with at least 1 year in HR.
- Required: High School Diploma or GED equivalent
- Preferred: aPHR or SHRM-CP Certification
